Private & trade events

Distributor showcases, launches, and VIP brand experiences

Trade event staffing for spirits and beer brands that need to win the room before they win the shelf.

Who's in the room

The audience is the industry

Premium brands are built in rooms full of gatekeepers—distributors, buyers, bartenders, and trade. We staff trade shows, distributor showcases, product launches, and invite-only brand experiences (think Casamigos-style intimate tastings) with bilingual talent who can speak both culture and B2B (margins, distribution, velocity).

A consumer activation sells one bottle at a time. A trade room sells the next quarter: the distributor rep who adds your SKU, the buyer who commits to an end cap, the bar manager who writes you into the menu. That room demands talent who can pour beautifully and answer the velocity question without flinching—in English or in Spanish.

Four conversations, one team

Distributors

Margins, program support, and the velocity story—told by talent briefed on your numbers, not just your tasting notes.

Buyers

Chain and independent buyers want case movement, end caps, and reorder logic. Our team speaks shelf, not just shot.

Bartenders & bar managers

Cocktail specs, pour cost, and menu placement—delivered by certified bartenders who work the same rooms they do.

Trade & press

Provenance, founder story, and a serve worth photographing—so the coverage writes itself.

What's included

A trade-ready team, not just pretty pours

Every private and trade engagement ships as a complete unit—people, training, capture, and paperwork.

Trade-fluent bilingual ambassadors

Talent briefed on your margins, distribution footprint, and velocity data—equally at ease with a distributor rep and a VIP guest, in English and Spanish.

Certified bartenders & pour service

Polished service built around your cocktail specs, staffed with bartenders holding the certification each state requires (RBS, TIPS, TABC, BASSET).

Brand training & B2B talk tracks

We turn your brief into a working script: price ladder, program support, provenance, and the why-now story—rehearsed before doors open.

Lead & meeting capture

Every conversation logged: name, account, role, interest level. Hot accounts get meetings booked on the spot, not business cards lost in a jacket pocket.

Content capture

Timestamped photo and video coverage of the room, the serve, and the conversations—ready for your recap and your next sales deck.

Compliance & insurance paperwork

Certificates of insurance, W-2 staffing documentation, and per-state certifications delivered to your venue and distributor before the event.

Process

From guest list to follow-up list

Four steps, each one accountable to the next.

Brief & guest map

We map who's in the room—distributor reps, buyers, bartenders, trade—and define what a win looks like: leads, meetings, placements.

Casting & training

Bilingual talent cast for your audience, trained on the brand story and the B2B talk track, with certifications verified for the event's state.

Execution

GPS-verified check-in, branded pour service, live lead and meeting capture, and a content shot list worked through the night.

Recap & follow-through

Leads exported, meetings listed, samples counted, content delivered—a recap report your sales team can act on while the room is still warm.

Metrics

What we report after every event

A trade event without numbers is an expensive party. Every engagement closes with a recap built on four counts.

Leads captured

Trade contacts logged with account, role, and interest level—exported to your CRM, not trapped in a spreadsheet.

Meetings booked

Follow-up meetings and tastings committed on-site with distributors, buyers, and bar accounts.

Samples poured

Pour counts by expression, so you know which SKU carried the room and what inventory the night actually consumed.

Content delivered

Categorized, timestamped photo and video—proof for your team and ammunition for the next sell-in deck.

Compliance

Invite-only doesn't mean rules-free

Private and trade events still sit under state alcohol law. We handle the paperwork so your launch never becomes a liability story.

Taking the brand on-premise after launch? Bar & nightclub activations

State-certified staff, verified per market

California requires RBS certification (mandatory since July 1, 2022 under AB 1221, valid 3 years); Texas TABC certification is valid 2 years and tied to Dram Shop Safe Harbor; Illinois requires BASSET; TIPS covers other markets nationally. Certifications are not transferable between states—we verify each one for the event's market.

W-2 employment model

Our staff are W-2 employees, not 1099 gig workers—which means accountability, training continuity, and cleaner liability for your brand and venue.

Insured for the room

Liquor liability and workers' compensation coverage, with certificates of insurance delivered to your venue or distributor before doors open.

Responsible service, even for VIPs

ID verification and responsible-service protocols apply in invite-only rooms exactly as they do on a sales floor. Legal drinking age, no exceptions.

Venue & regulatory coordination

We coordinate with your venue, distributor, and the state's sampling rules so the pour itself is as compliant as the paperwork behind it.

FAQ

Frequently asked questions

Can your staff actually talk business with distributors and buyers?

Yes—that's the point of this service. Before every trade event, Impulso trains the team on your B2B talk track: margins, price ladder, distribution footprint, and velocity story. Ambassadors and bartenders are cast for the audience in the room, so a distributor rep gets a numbers conversation and a VIP guest gets a brand experience—in English or Spanish, whichever the moment calls for.

What types of private and trade events do you staff?

Distributor showcases and general sales meetings, trade shows and industry expos, product and vintage launches, buyer and account dinners, and invite-only brand experiences such as intimate guided tastings. If gatekeepers are in the room—distributors, buyers, bartenders, or press—it's our kind of event.

How do you capture leads and meetings at a trade event?

Every conversation is logged live—name, account, role, and interest level—and hot accounts get follow-up meetings booked on the spot. It matters: brands lose contact data for roughly 66% of their audience without proper lead capture (AnyRoad FullView, 2022), and a lead contacted within 5 minutes is 21x more likely to qualify than one contacted at 30 minutes (MIT/InsideSales; Harvard Business Review, 2011). Your recap includes the full export, ready for your CRM.

Should I book bartenders, brand ambassadors, or both?

They do different jobs. Bartenders own the serve—cocktail specs, pour cost, speed, and responsible service. Brand ambassadors own the room—telling the brand story, working the guest list, capturing leads, and booking meetings. Most trade events perform best with both: bartenders keep the liquid moving while ambassadors turn conversations into accounts. Tell us the format and we'll recommend the split.

Which markets do you cover, and how far in advance should we book?

We staff private and trade events across CA, TX, FL, IL, AZ, NY—the markets where the U.S. Hispanic opportunity concentrates. More lead time means sharper casting and deeper brand training, so earlier is always better; for tight distributor-calendar windows, tell us the date and we'll tell you honestly what we can deliver.
